How to convert PDF tables to Excel

01

Start with a text-based PDF

Use Choose PDF to select a file, or drag and drop one here. Check that you can select and copy text; image-only pages need OCR first.

Choose how to build your Excel file

What do you need?Choose this settingWhat to check
Review invoices or reports page by pageOne sheet per page; select only the pages with the data you need.Sheet names refer to source pages so you can compare rows and values with the PDF.
Bring several pages into one worksheetCombine into one sheet.Page labels and separator rows are added; repeated headers remain. Clean the sheet before filtering or summing.
Calculate with quantities, amounts or percentagesEnable Detect numbers automatically.Compare decimal marks, thousands separators and negative values with the PDF.
Keep codes or ambiguous numbers as writtenDisable Detect numbers automatically.Values stay as text; convert only the columns you need for calculations after reviewing them.
Filter a table whose first row contains headersOne sheet per page + Add a filter to the first row.If the first row is a report title, fix the headers first. Combined mode does not add automatic filters.

Check your data before using Excel

Review numbers, dates and codes separately

Dates such as 02/10/2026 stay as text rather than becoming Excel dates. Digit-only codes with leading zeros, such as 00123, also stay as text. With number detection enabled, 1.234 is interpreted as 1234; if your PDF uses a dot as a decimal mark, disable this option and convert the relevant columns later. Compare amounts, percentages and totals with the source.

Preview each page, not the whole file

Use the Page tabs to preview up to 12 rows and 8 columns from each converted text-based page. The “Showing” line compares the visible sample with that page’s data; the XLSX still contains all extracted rows and columns. If a page has no text, the result reports how many pages were skipped; check the page count and sheet structure before downloading.

Rows and columns may need adjustment

Merged cells, wrapped text and tables with different columns on one page can split or shift into other cells. The tool does not restore merged cells, formulas, images, colours or original table formatting. Keep the PDF for comparison, adjust columns and add formulas in your spreadsheet application after validating the data.

If data looks wrong or conversion fails

No text was found in the PDF
Image-only pages need OCR to create a PDF with a text layer before using this tool. If you only need text from an image of a page, use Image to Text; that text does not automatically become an Excel table or a searchable PDF. Open the image text recognition tool.
Columns shift or rows split
Convert one page using One sheet per page to find the affected cells, then adjust them in Excel. If you need editable paragraphs rather than table data, use PDF to Word. Open the Word converter.
The PDF is protected or damaged
Unlock a copy with the correct password and your permission to use the document, then try again. For a damaged file, check whether it opens in a PDF reader or export it again from the source application. Open the PDF password tool.
Libraries fail to load or the browser slows down
Check your internet connection and reload if processing libraries cannot be loaded. For long documents, select only the pages you need; if the file exceeds the limit, split it into smaller PDFs and process them individually. Open the PDF splitter.

PDF contents are processed on your device

PDF reading and XLSX creation run in your browser without sending document contents to an KitoTool conversion server. Processing libraries are downloaded from a CDN, so you still need an internet connection to get started. Save and protect both the downloaded Excel file and the original PDF.

Is the result a real Excel file or just a renamed PDF?

The result is an XLSX workbook with editable cells. The tool creates a new spreadsheet file; it does not rename the PDF or export legacy XLS or CSV.

Can I convert PDF to Excel on a phone or computer?

Yes. If your browser supports file selection, you can use the tool on a phone, tablet or computer: choose a file with the Choose PDF button. On a computer, you can also drag and drop a PDF. The file needs a text layer and must be no larger than 50 MB.

Can I convert an invoice that contains a logo or images?

You can extract the table if the invoice has a text layer. Logos, images and text contained only in images are not placed in Excel cells; compare line items and amounts with the original PDF.

Can scanned PDFs be converted directly to Excel?

This tool does not include OCR. Create a PDF with a text layer using OCR first; see what to do when no text is found.

Why can Excel not sum some converted cells?

Values may be stored as text, especially when number detection is disabled. Check how the numbers are written before changing cell types in your spreadsheet; see how to review numbers, dates and codes.

Is my PDF sent to a server for conversion?

No. PDF reading and XLSX creation run on your device; processing libraries still need a network download. See how file contents are processed.

Can I convert several PDF files at once?

Each conversion accepts one PDF. You can select several pages within that file; for multiple PDFs, download the current result and click Choose another file to process the next document.
